Event registration privacy notice

Updated 4 November 2026.

This notice relates to registration for Transition Plans — Connecting corporate plans to investor decisions in a digital age, on 14 November 2026 at COP31 in Antalya.

Who controls your information

XBRL International, Inc. is the controller of your registration information. Contact privacy@xbrl.org with questions about this notice or to exercise your data protection rights. Our general contact details are available on XBRL International's website.

What we collect and why

We ask for your name and email address to administer registration and send essential information about this session. We will also send registrants follow-up information about the next steps arising from the session. You may provide your organisation; this is optional and helps us understand the professional audience. Without a name and email address, we cannot process a registration through the form.

We rely on our legitimate interests in organising the event and communicating essential session information. Registration does not subscribe you to marketing or authorise promotional email. We do not request passport or badge details, health information or payment information through this form.

Registration is optional, but helps us tailor the session to the interests of the audience. We encourage attendees to arrive promptly, as seats cannot be guaranteed. Registration does not issue a COP31 badge or guarantee entry. Separate valid Blue Zone accreditation is required.

Who can access the records

Access is limited to authorised event staff who need the information for these purposes and contracted service providers supporting the service. Responses are held in Google Forms and its linked private Google Workspace Sheet. Public access to submit the Form does not grant access to the response records or to edit the Form. We do not publish an attendee list or response summary.

A staff bookmark in Box can link to the Sheet without copying its response database into Box. Google permissions govern access to that Sheet. Co-organisers do not automatically receive the attendee list. We may disclose information if a legal obligation requires it.

Google may process technical information when you open and use its Form, as described in the notices provided with that service. The event website's hosting may also process ordinary request information to serve and secure the page.

International processing

XBRL International is based in the United States. Google Workspace services may process information internationally, including outside the UK and EEA. For information about processing locations and the applicable international transfer arrangements and safeguards, contact privacy@xbrl.org.

How long we keep the information

We will delete event registration records by 12 February 2027, 90 days after the event, unless a specific legal obligation requires longer retention. In that case, we will retain only the information necessary for that obligation. Our retention procedure covers the Form, response Sheet and operational copies, taking account of the applicable trash, backup and organisational retention policies.

Your rights

Depending on the applicable law and circumstances, you may request access to your information, correction, erasure or restriction, and you may object to processing based on legitimate interests. Contact privacy@xbrl.org. We do not make automated decisions about you through this registration form.

You may complain to the UK Information Commissioner's Office or the competent data protection authority where you live or work in the EEA. Contacting us first does not prevent you from complaining to an authority.
